Multilingual project management.
From one installation card to a portfolio-wide overview.
The challenge
I originally developed the tool to support my own project-management work. An industrial installation team may have 15 people working in pairs and rotating between tasks. A delivery and installation project can last six months. Information often travels through one WhatsApp thread as photos and messages, making equipment- and task-specific information difficult to find.
Equipment cards as shared site memory
Each machine or work item has its own card, accessible by phone or computer. The team can dictate what has been completed, what remains and where the supervisor wants people to work next. Photos, other material and installation instructions are attached to the correct card instead of disappearing into a general message stream.
Field assistant and multilingual communication
The AI assistant can discuss the project material, complete equipment-card information and locate who last worked on a given item. It turns spoken observations into structured notes, reads attached instructions and answers questions about them. Team members can communicate in their own languages, for example Finnish and Ukrainian, reducing misunderstandings without a separate interpretation chain.
Project and portfolio overview
Equipment-card entries create a project overview without manual collection from several channels. They show what is complete, what is missing and where work is needed next. Across several projects, the portfolio view helps management focus on the right work and report using current factual information.
My role
I designed and implemented the workflow, data model, interface and AI-assisted field assistant based on my experience managing installation projects. I have continuously refined the assistant’s operating logic and prompts based on real use: inconsistent behaviour is corrected at the rule level, not merely patched as a single symptom.
Result
The tool has grown from a way to record one installation card into support for managing an entire project portfolio. It clarifies site communication, preserves equipment history and rolls operational information upward without separate reporting work.
